Payroll Integration 101

Payroll integration is a process for companies seeking to streamline their operations by seamlessly connecting their payroll system with other software or platforms. There are four primary payroll integration options used at Steele and while they all have pros and cons, there’s no right option for everyone. The duration of integration projects can span from a few weeks to several months, depending on the scope and complexity of the integration. When deciding which one to use Steele must talk about each client’s needs to see which payroll method might be right for them.

  1. Client-directed Upload: A client-directed upload is the most common payroll integration type utilized by Steele and our clients. For this payroll type, the client sends Steele the file format that they need to upload into their payroll system including the deduction codes. Steele then sends the deductions over in the correct file format for the client to upload directly into their payroll system. This gives the clients control over when and how payroll data is transferred to their payroll system.
  2. API (Application Programming Interface): API connections are payroll integrations that we set up to continuously send information back and forth between Steele and payroll providers to establish a real-time data exchange between the two systems. Two common payroll providers that Steele works with for API functionality include Paylocity and Paycor. APIs enhance efficiency, saving time by minimizing errors associated with manual data entry. Setting up APIs can be a detailed process, but they continuously send deduction information back to the group, eliminating the need to send a payroll file to the client. This makes the effort highly worthwhile.
  3.  Automated File Upload to Payroll Vendor: An automated file upload to the payroll vendor is the least commonly used payroll integration type at Steele. Steele works directly with the payroll provider to send deduction information. For this payroll integration type, the payroll vendor sends Steele the file format and SFTP credentials needed to upload payroll information into their system. This payroll integration type allows payroll files to be automated by scheduling recurring files from Steele and sending them to the payroll provider’s secure portal.
  4. Manual Entry File: A manual entry file is hands-on for Steele and the client. Steele sends deductions over on a file to the client in the preferred format, typically an excel file, which sometimes needs to be manipulated to match exactly what the client is expecting. From there, the client then keys the deduction information into their payroll system. While this type of payroll file requires human intervention for data accuracy and is not considered technical integration, it might be beneficial for some companies.
